OVRDA Minutes of phone conference meeting on January 30, 2010. |

Members present:

The meeting was called to order at 7:10pm by President Alan Wertz.
Minutes of the 2009 meeting at Louisville, KY were discussed and approved.
Deb Arnold presented the treasurer’s report. There is 2504.71 in the treasury. Our annually dues are due by May 7, 2010 and should be sent to Deb Arnold. Deb will forward us her current address for us to send our dues to.
Lisa Greene was nominated as secretary by Aaron Holladay and seconded by TaraWertz. Motion passed and Lisa Greene is now Secretary.
We discussed the Kentucky State Fair. It will cost us $1248 to have both a Dorper and White Dorper show. That doesn’t include the cost for a judge. Aaron is to let us know that we have been approved for a show at the Kentucky State Fair by the Fair committee and also check on judges and their rates. The National Organization will give us funding for this project. We just need proposals and figures to pass on the National Organization to get funding.
We need to purchase a new banner for the club to use for our shows and sales. Aaron will see what the cost of purchasing a duplicate of what we had and Tara is going to see the cost of having one produced at Kinkos. We will decide where to purchase the banner at the next meeting in the end of Feb, first of March.
We discussed the Ohio Showcase at length. A motion was passed by all to advertise this event. We should be able to get funding from the National organization to fund our advertising; Tara is going to make contacts for this. At our next meeting we would like all the members input into where we should advertise for this sale.
We did decide for this sale we will provide lamb burgers, and lamb brats, buns, condiments and chips. Deb suggested we purchase a cheap charcoal grill and just keep it simple. We agreed to purchase 25 pkgs of 4 lamb brats and 25 pkgs of 4 lamb burgers. The purchase of the lamb for the sale would be $325.00. The motion was made by Deb Arnold and seconded by Tara Wertz, the motion passed. Allen and Tara are also going to look into getting a local winery or distillery if they would be interested in having a taste test along with us. We are planning on having this on May 7 maybe around 4-5. We do plan on having a OVRDA meeting on May 7 at 11:00am. Between the meeting and the meal on the day of the sale, we will also be having an educational seminar on Dorper Typing and Ram Selection.
At the Ohio Show case sale we will be offering pens of three as a sale option for those in the group that would prefer not to participate in the Show. Dorene is going to put the Ohio Showcase Sale on the National website and John is going to come up with a youth award for the OH sale.
The group decided at this time we do not have enough quality sheep at this time to have the Marysville sale. Further more we decided it was not cost effective to have just an educational seminar for the Dorper breeders during this time in September.
We discussed maybe getting together with the mid west hair sheep association sale in Indiana. John Holladay is going to gather more information on this for the group and we can discuss this at the Eaton, OH sale.
We did elect some new committees Show/Sale/Advertising/ marketing Aaron Holladay Educational Tara Wertz Youth Tim Hoober and John Holladay Website Dorene Holladay.
Finally a motion was made to have the club pay for the conference calls by Tom Greene, John Holladay seconded and the motion passed.

The meeting was called to order at 7:10pm by President Alan Wertz.
Minutes of the January 30, 2010 meeting were read and approved.
Deb Arnold was unable to participate in the phone conference meeting, so we did not get an updated treasurers report. Tara Wertz did inform the group that our last phone conference meeting cost the group $54.68.
We discussed the Kentucky State Fair. The tentative date for the show is Saturday August 28th. The sheep need to be stalled by Friday at noon and are released on Sunday. Aaron Holladay is in the process of contacting some local judges for the event. He is also researching if it would be more cost effective for the group to fly a judge in from out west to judge the show. A final decision on a judge will be made at the meeting at the Eaton Showcase Sale in May. Aaron also made a motion to add $2 per head on to the entry fee for the show to help defer some of the OVRDA ‘S expenses for participating in the show. Tara Wertz seconded the motion and this motion unanimously passed.
We discussed purchasing a new club banner. After a lengthy discussion we decided to let Tara Wertz and Aaron Holladay work together to on putting the banner together so we can have it in time for the Eaton Showcase Sale in May. The estimated cost of the new banner will be around $70.
It was agreed that the group should Advertise the Eaton Showcase Sale. Tara Wertz is going to check with Doug Gillespie about placing a free ad in the upcoming Dorper Journal. Other places suggested to advertise were Farm World, Sheep, Farm and Ranch, Craig’s List, Rualads.com, and a facebook page.
A committee consisting of Deb Arnold and Marg Guenther will be handling the lamb tasting at the Eaton Showcase Sale in May. We encourage everyone to take time and help out with this project.
Our President, Alan Wertz has been in the process of contacting non-participating group members to what improvements we can make to encourage more active participation from the members. One suggestion was to add a pen of three ewes for the Eaton sale for those members that are unable or prefer not to show their animals. This has been added to the up coming sale at Eaton. Another suggestion was educational classes online. This is being looked into for the future. Someone else suggested making a display to be used at local fairs. After some discussion it was decided that was not feasible at this time.
Finally, Alan and Tara Wertz encourage everyone to get their children involved with the All American Sheep Show this year. It takes place over the 4th of July weekend and is being held in Michigan this year. It is a great way to get the youth more involved in the Dorper breed. Along with the show they have numerous activities and fun events for the kids to participate in.
Our next phone conference meeting will be Saturday April 3 at 7:00pm. The agenda for the meeting and call in information will be posted at a later date on OVRDA yahoo group site.
