OVRDA meeting 11-15-07 at NAILE

 Approximately a dozen people attended the meeting led by VP Tom Greene.

 Lisa Greene presented the treasurer’s report. There is a total of $1164.30 in the treasury.

 The OVRDA sale in Marysville was discussed. Everyone felt the sale was a great success and we are looking forward to the next one. We talked about offering a free lunch next year- possibly Dorper lamb barbeque sandwiches.

 We also discussed participating in the Eaton, Ohio sale in May. Ron Guenther emphasized that each sale is different and requires a different type of consignment. Fall born lambs should do well at Eaton.

 Tom asked if we felt funding should be requested from the national association for the cost of individual flocks to enroll in NSIP. There was a “no” vote on this because we felt it was a promotion for an individual’s flock as opposed to promoting the breed.

 We talked about advertising in the new Dorper Journal that will be used to promote the breed. We would like to ask the national association to give us a free ad. If they don’t provide a free ad we would like to pay for an ad and then request money for advertising.

 The website is up and running and looks great. We talked about asking the national association to pay for the cost of the website ($120.00 for 2 years) if they do give us a free ad in the Journal. We also would like the OVRDA newsletter put on our website as opposed to printing and mailing it.

 There was some confusion with members of the national association regarding the Dorper display and the display was very small. We feel NAILE is an important venue and would like to see a very professional display next year.

 We discussed more frequent meetings and possibly moving the location.

             The meeting was called to order at 11:20AM by President Chuck White.

             Minutes of the 2007 annual meeting were read by Gretta MacIntyre. They were approved as read.

             Deb Arnold presented the treasurer's report. There is $1309.30 in the treasury. There are two outstanding bills to be paid, the fee for the web page and domain registration which is $111.49 for two years and the 1/8th page ad for the Dorper Journal for $130.00. The treasurer's report

was approved as read.

 

Old Business

 

             Chuck presented comments from members re: the 2007 OVRDA Fall Sale. These comments were overwhelmingly positive. Some suggestions were given and will be implemented. It was felt that the workshops added too much to an already busy day. The decision was made not to have any workshops but to have a promotional booth with someone there to answer questions.  (Ron Guenther volunteered to assist with this). A request was made to add basic sheep care information and a membership application to the information packet that was passed out.

             An enthusiastic discussion regarding the logistics of the 2008 fall sale resulted in the following decisions.

             The OVRDA Commercial Sale will be held at 1:00PM on September 13, 2008, at the Marysville Fairground. Last year's fee for the use of the fairground was $290.00. This year's fee is not yet known.

             Check-in time for consigners will begin at noon on Friday, the 12th, and will end Saturday, the 13th, at 9:00 AM. Consigners will need copies of the vet papers for out of State entries plus original registration papers and a copy for each consignment.

             There will be an organizational meeting of all consigners and members at 9:00 AM on Saturday, the 13th.

             We will not use a food vendor; we will accept donations for a Dorper lamb lunch to be served at 11:30 AM, prior to the sale.

             Deadline for consignment will be August 15, 2008. Maximum age for consigned ewes will be 36 months. In the event there are ewes consigned with lambs at their side, no lambs under 30 days of age will be accepted.

             Minimum floor bid will be $100.00.

             Sale order will be fullblood and purebred ewes followed by percentages. Then fullblood and purebred rams. Percentage ewes could be offered as a group at the consigner's discretion.

             A motion was made to draw a sale order by consigned farms, first for ewes then for rams. The first three ewes and the first three rams to enter the sale ring will be chosen by two non biased individuals prior to the sale. This was seconded and approved. In time, we hope to use the average of individual farm sales to establish sale order.

             Consigners are expected to assist in getting their sheep out of their pens and ready for the auction ring.

             Buyers' numbers will be recorded in order to process transactions more quickly and expedite loading. There will be people to help buyers load their new sheep.

             We need to work out an advertising plan which will include, Ed Johnson's radio station, ABN, The Shepherd, Farm and Dairy, the Dorper Society newsletter and website, Country Journal, Ohio Sheep Day, Farm World, Lancaster Farmer and more.

             We also agreed that a "meeter and greeter" is needed at the Fall sale.

             At our 2008 sale, we will work to cater to the buyers.

             We made the decision to participate in the Eaton Spring Show and Sale in 2009. The Show is Thursday, May 07, 2009 and the sale is Friday, May 08, 2009. Banner manages and advertises this event. We will need a Dorper judge for this show.

Black and White Dorpers will show and sell as separate classes.

Classes will be as follows.

Yearlings- September 01, 2007 and later

Fall lambs- September 01 to December 31, 2008

Spring lambs- January 01, 2009 and later

             The next New York Bred Ewe Sale is October 17 to 18th, 2008 in Rhinebeck, NY. There is no age limit on the ewes. Consignment deadline is August 20, 2008.

             The question of sponsorship was discussed. Sponsorship would involve supplying ribbons. The decision was made to sponsor the sale. We include information about the sale on our website and in our promotional materials.

             Dorene Stall, webmaster presented information regarding the OVRDA website. Dorene is requesting lamb recipes. These should be sent to her in a Word file. Anything that a member wants placed on the website should be sent in a Word file. We do have a sheep for sale page. It was decided that the charge for a sale page would be $10.00 per quarter this will include a picture and your farm information.

             Aaron Holiday presented on markets for Dorper sheep. Food City is opening a new packing company in Richmond, Kentucky. They will be marketing Kentucky Proud Lamb which they want to be a Dorper cross 75% Dorper and above. They need consistency and are looking of Grade #2, 100 pound finished lambs. They will need 75 head a week to start. They want to know how many head we can supply. John Holiday is looking into leasing a feedlot facility that is currently inactive in order to supply Kentucky Proud Lamb. Please contact Aaron with numbers and dates you could have lambs available.
